We are seeking a polished and professional Administrative Assistant/ Receptionist for a long-term temporary assignment to be the welcoming face of our office. This front-facing role is critical to creating a positive first impression for our clients, partners, and visitors. You will serve as the first point of contact and support a variety of essential administrative functions to ensure smooth day-to-day operations.

This position requires a high level of professionalism, discretion, and attention to detail, along with the ability to handle sensitive information with absolute confidentiality.

Key Responsibilities

  • Front Desk Management: Greet clients and visitors with warmth, professionalism, and discretion. Maintain a polished, welcoming reception area.

  • Confidential Support: Handle private, privileged, and sensitive information with the highest level of confidentiality and care.

  • Meeting & Event Coordination: Schedule and coordinate meetings, conferences, and special events. Reserve conference rooms, set up teleconferencing/video conferencing, organize catering and A/V equipment as needed.

  • Document Handling: Scan, organize, and manage daily incoming documents with accuracy and timeliness.

  • Office Supplies & Inventory: Manage ordering, receiving, stocking, and distribution of office supplies to ensure departments are well-equipped.

  • Logistics Support: Assist with occasional pick-up and delivery of supplies and food/beverage service.

  • Facility Maintenance: Maintain a clean and orderly front office and shared spaces.

Qualifications

  • Prior experience in an administrative, receptionist, or front desk role (corporate or professional environment preferred)

  • Highly professional and presentable appearance and demeanor

  • Exceptional communication and interpersonal skills

  • Comfortable with multi-tasking and managing a fast-paced front desk

  • Discreet and trustworthy with sensitive and confidential information

  • Strong organizational and time management skills

  • Proficient in Microsoft Office Suite (Word, Outlook, Excel) and office equipment

  • Ability to work independently and maintain a tidy, organized workspace
